.

.

.

Memo to Michelle Wolfe
Celebrating Arden Hills
Page 3

1111. Barbecue Dinner Ticket Required to enter tent:
The decision was made that a ticket must be purchased to enter the
barbecue dinner tent. This was done because of the problems that
have occurred in the past with many people sharing plates and only
purchasing one ticket. This rule makes it difficult because if one
person in a family chooses not to have the barbecue dinner, he/she
would not be allowed in the tent. Staff tries to keep the total
number of people eating at our specified total. It becomes difficult
when people are in the tent that do not have a ticket. It becomes
very hard to manage. If the City Council wants to keep the
catered dinner, how does staff manage this issue?

Options to Consider;

· Continue the barbecue dinner as the staple of the event!

.

Bring in a wide variety of food vendors for our event. A large eating area could be
provided, (we could go down to 2 tents, instead of 3) just as we do with the barbecue
dinner which would be a great gathering place. The City would not be turning
anyone away and the people who attend would have a choice of foods to choose from.
This option would help take significant work off of the volunteers/staff. This also
eliminates the guessing work when it comes to deciding a final count for the caterer.
Also, if there is bad weather, it does not affect the city. This would be a significant
decrease in cost for the City, plus each food vendor would pay an entry fee.

· Along the same lines as the above option, the caterer could put together a meal
package (value meals) that people could purchase (burger, chips, and pop ($6.00 for
example)). The City would purchase a certain number that we feel would sell and
that is the amount they would cook. We would then have multiple food vendors in
order to have enough choices. This would be a cost decrease while still having the
positive aspects of the catered dinner without the downside.

2.
