Ticket Sales: <br />Ticket sales are unpredictable, We must give the caterer a final <br />count no later than one week before the event. Therefore, it ends <br />up being a guessing game. Again this year, staff was unaware of <br />the number of tickets sold. Staff was still receiving left over <br />tickets and money for sold tickets, one week after the event. The <br />promotion & ticket sales ofthe Barbecue Dinner are a crucial piece <br />of the event. If the weather is good (as this year's and last year's <br />event have been), staff anticipates that the City will generally <br />always have success selling tickets and even sell out the day of <br />The City ideally would like to have at least 100 tickets available <br />for sale the day of (This year we had 170 available), If the event <br />falls on a day with challenging weather, ticket sales would not be <br />as successful and the City would pay for all unsold tickets, Health <br />regulations require that most leftover food be disposed of. Giving <br />out complimentary tickets is another issue. After giving one ticket <br />per staff, that adds up to 24 tickets, The City also needs to provide <br />fcod for other volunteers, including seasonal staff and Ramsey <br />County staff These complimentary tickets take away from the <br />total number that can be sold, If this barbecue dinner becomes the <br />staple of our event for years to come, how many people can this <br />type of event handle? If the event begins to take off, can the City <br />adequately serve 750-1,000 or more? Is the City Council willing <br />to accept those years where tickets sales are down due to weather <br />and other factors? How many people can we accommodate with <br />this type of dinner? <br /> <br />. <br /> <br />Ill. Caterer; <br />Although, staff did receive many compliments regarding the food <br />for the event, there were some issues with the caterer. The main <br />issue was that the caterer claimed more than our count went <br />through line, which staff completely disagrees with, Staff <br />reviewed the event with the caterer and their event organizer and <br />discussed all aspects of the dinner at length, The attitude of the <br />event organizer has been a question and that will need to be <br />addressed if we continue with them in the future, If the City <br />Council continues the catered dinner, should staff seek a <br />differe1lt caterer for the event? <br /> <br />. <br />
