City of Centerville <br />Park & Recreaon Meeng Minutes <br />August 2, 2023 <br />V. UNFINISHED BUSINESS <br />1. 2023 Volunteer Appreciation Day <br /> <br />There have been several discussions regarding the importance of recruiting and other ways of <br />recognizing those volunteers who are so important in allowing the P & R Committee to plan & <br />hold the various events throughout the year. Some of these include: <br />a. An article & photo of the volunteers at the conclusion of each P & R event included in the <br />local newspaper, City newsletter and/or City AdministratorÓs bi-monthly newsletter, with <br />information included prior to the event about the event & volunteer opportunities. <br />b. Taking out an ad in the local newspaper with the above listed information included. <br />c. Providing a Certificate of Appreciation and/or a Thank You Note. <br />d. Providing small tokens of appreciation as previously were given the two previous years. <br />e. Resuming a ÐVolunteer of the YearÑ with a recognition plaque to be placed in the vestibule <br />of the city offices as had been done in previous years. Parameters would need to be set i.e. <br />P & R events only (acknowledge one volunteer from each P & R event), tracking of the <br />number of hours accumulated volunteering, selection process (nominations, etc.?), <br />f. Volunteers could sign up through a bar code option, QR, but committee members would need <br />to keep track of their activities and the amount of time donated. <br />g. A comprehensive list of volunteers, and their activities, would need to be maintained <br />(through google.dot or other sites). <br />h. To focus on the volunteerism of youth in the community, both individually and as groups. <br /> <br />There was also discussion about if P & R should combine their recognition of volunteers along <br />with any Lions Club event and/or any city sponsored events. <br /> <br />Committee Member Errickson-Grahek will work on compiling lists from the Marketplace events <br />and Music in the Park, with Committee Member PetersonÓs assistance, and compile a format that <br />would work with other events. <br /> <br />The initial information regarding a live Volunteer Appreciation Day has been discussed previously <br />regarding the scheduling of this event, best time of year, keeping it an annual event, every other <br />year or do something entirely different. There was no decision made as to whether to have a <br />Volunteer Appreciation Day this year as having been held in 2021 & 2022. <br /> <br /> <br />2. Purchase of replacement audio equipment & MITP Î STATUS <br /> <br />th <br /> An email was received on July 26, and forwarded to Committee Member Peterson, that the EMI <br />nd <br />Audio Order which was placed on May 2 is now awaiting pick up. The new mixer is smaller & <br />easier to handle plus a sturdy storage/carrying case was included. The current equipment has been <br />stored in a temperature-controlled environment as this new equipment should be as well. It was <br />suggested that at least 2 committee members be trained on the new equipment. Also, two sets of <br />speakers have been ordered for a total of 4 new speakers. <br />Page 2 of 6 <br /> <br />
