<br />i <br /> <br />June 4, 2001 <br />Communications Ad Hoc Committee Meeting Minutes <br />Witzel with the program. It was anticipated that it would exceed four (4) hours for entry, <br />but results would be available for their next meeting. <br /> <br />V. DOCUMENT IMAGING <br /> <br />Committee Member Fairbrother stated that he had spoken with a Staff member of the <br />City of Circle Pines. She explained that the City Administrator, Mr. Jim Keinath, had <br />research several document imaging vendors. Committee Member Fairbrother stated that <br />the City of Circle Pines purchase Laser Fiche in 1997 and it cost $7,151. The equipment <br />purchased was a server, scanner, etc. Committee Member Fairbrother stated that they <br />purchase same from a vendor named Software Tailors, Inc. Committee Member <br />Fairbrother stated that the City of Circle Pines is utilizing the software for ongoing items <br />only, if time allows, they would use same for older records. The Staff member reported <br />that they have been experiencing problems with the software/computer and slowing <br />speeds. Committee Member Fairbrother questioned the Staff member as to would they <br />purchase the same system or a different system and the Staff member stated that they <br />would retain Laser Fiche. Committee Member Fairbrother stated that the Staff member <br />stated that the scanning of documents was highly time consuming. Committee Member <br />Fairbrother reported that retrieval of documents was excellent. Committee Member <br />Fairbrother stated that he would contact Software Tailors, Inc. Consensus was that the <br />City cannot spend money on technology and not use it. It was felt that no one has <br />responsibility for the web site, cable channel, etc. so these items are not being used. <br /> <br />Motion by Committee Member Fairbrother. seconded by Committee Member Bode <br />to recommend updating the web site with current information and Laser Fiche be <br />reviewed by Administrative Staff. All in favor. Motion passed unanimously. <br /> <br />VI. NEXT MEETING DATE <br /> <br />Chair Brenner questioned when the Committee desired meeting again to review the <br />results of the surveys. Consensus was that the next meeting be scheduled for June 18, <br />2001. <br /> <br />VII. SET AGENDA <br /> <br />The Committee did not discuss this item. <br /> <br />VIII. OLD BUSINESS <br /> <br />None. <br /> <br />IX.
