By using the E-Mail system, all users <br />consent that authorized City representatives may, at their discretion, inspect, use Or <br />disclose any E-Mall or other electronic communications and/or data without further <br />notice. The City does not systematically inspect. all records and relies on users to report <br />offensive or inappropriate material to their immediate supervisor or the Personnel <br />Officer. <br /> <br />5.09 User's Rernonsibility for Securitv. Usors are responsible.for the security oftheil' E-Mail <br />account pMsword and any E-Mail that is sent via their account. To protcct accounts <br />agaillSt unauthorized use, take the following preca.utions: <br /> <br />. Protect the E-Mail account before leaving the computer unattended if there is any <br />possibility someone else could use the systent. If an E-Mail account is left open, and <br />someone else uses it, it will appear as if the message was sent from the original user <br />and the user will be held accountable. <br /> <br />. Protect passwords against unauthorized use. The user is responsible fer messages sent <br />via their account. Correspondingly, do not read, use or tamper with someone else's <br />account without their knowledge and cons'Xlt. Unauthorized use of an E-Mail account <br />may be unlawful. <br /> <br />. Change passwords on a regular basis. Passwords canbe stolen, guessed or <br />inadvertently made available. <br /> <br />5.10 Procedure for Misdelivered M.....'lIi!es. It: an E.Mail message is delivered by mistake, the <br />recipient should notify the sender ixmnediately and notify the System Administrator if the <br />problem appears to be. system related rather than sellder error. PUl'llOsefully reading E. <br />Mail intended for another person without tne expressed pennission of that person or the <br />City is impermissible and may be a violation oflaw. <br /> <br />5.11 Forwsrdinj' E.Mail. A user, in furwarding a message, which originates from someone <br />else, shall not make changes to !:hat message without clearly disclosing the exact nature <br />of the changes and the identity of the person who made the changes.
