By using the E-Mail system, all users consent that authorized City representatives may, at their discretion, inspect, use Or disclose any E-Mall or other electronic communications and/or data without further notice. The City does not systematically inspect. all records and relies on users to report offensive or inappropriate material to their immediate supervisor or the Personnel Officer. 5.09 User's Rernonsibility for Securitv. Usors are responsible.for the security oftheil' E-Mail account pMsword and any E-Mail that is sent via their account. To protcct accounts agaillSt unauthorized use, take the following preca.utions: . Protect the E-Mail account before leaving the computer unattended if there is any possibility someone else could use the systent. If an E-Mail account is left open, and someone else uses it, it will appear as if the message was sent from the original user and the user will be held accountable. . Protect passwords against unauthorized use. The user is responsible fer messages sent via their account. Correspondingly, do not read, use or tamper with someone else's account without their knowledge and cons'Xlt. Unauthorized use of an E-Mail account may be unlawful. . Change passwords on a regular basis. Passwords canbe stolen, guessed or inadvertently made available. 5.10 Procedure for Misdelivered M.....'lIi!es. It: an E.Mail message is delivered by mistake, the recipient should notify the sender ixmnediately and notify the System Administrator if the problem appears to be. system related rather than sellder error. PUl'llOsefully reading E. Mail intended for another person without tne expressed pennission of that person or the City is impermissible and may be a violation oflaw. 5.11 Forwsrdinj' E.Mail. A user, in furwarding a message, which originates from someone else, shall not make changes to !:hat message without clearly disclosing the exact nature of the changes and the identity of the person who made the changes. Ifa message has been designated by its origir.ator as a fonn of "Not Public Data" or "Attomey..client Privileged," tlle recipient shall not forward the message without the prior consent of its originator. ~ .
