<br />. <br /> <br />City of Centerville <br />September 22, 2004 <br />Council Meeting Minutes <br /> <br />2. Ordinance Codification Status <br /> <br />Ms. Moore-Sykes reviewed the memo previously provided by the City Clerk with <br />Council and asked for direction on how to proceed. <br /> <br />Council Member Broussard Vickers indicated that when the City was doing this it <br />seemed that the City was doing all the work so she would like to know what the City paid <br />for. She then asked Staff to obtain a copy of the signed contract as well as copies of the <br />work that was done for the $3,180.00. <br /> <br />3. Mr. & Mrs. Stan Hasiak. 6994 Centerville Road - Extension for TemPOrarv <br />Construction/Living Quarters <br /> <br />Ms. Hasiak asked for an extension as their home remodel is not yet complete. <br /> <br />Motion bv Council Member Lee. seconded bv Council Member Paar to extend the <br />temvorarv occuvancv vermit for 90 days. All in favor. Motion carried <br />unanimouslv. <br /> <br />4. Document Imaging/Archival Discussion <br /> <br />Council Member Capra suggested that it is time to do something about document storage <br />and retention because the City is out of space but needs to keep these documents. She <br />then suggested the City consider a document imaging system. <br /> <br />Council Member Broussard Vickers asked if the job could be contracted out. <br /> <br />Council Member Lee commented that the company he works for is investigating a <br />centralized record network and they had an efficiency audit which they failed because, in <br />order to pass, you must be able to find what you are looking for in three minutes. <br /> <br />Ms. Moore-Sykes indicated that the City Clerk is concerned that the end user would not <br />be able to find documents if they are not categorized appropriately by a contractor. <br /> <br />Council Member Broussard Vickers suggested doing so going forward rather than doing <br />all existing documents. <br /> <br />Mayor Sweeney asked Staff to look into how other cities handle document retention. <br /> <br />Council Member Broussard Vickers suggested that this be a first of the year project when <br />things slow down with budgeting and the new Council is in place. <br /> <br />5.
