<br />CITY OF CENTERVILLE <br />POSITION DESCRIPTION <br /> <br />Position Title: <br />Department: <br />Accountable To: <br />Status: <br /> <br />CITY CLERK <br />Administration <br />City Administrator <br />Non-Exempt <br /> <br />Date: June 2005 <br /> <br />PRIMARY OBJECTIVE OF POSITION: <br />Performs responsible work directing the registration of voters, oversees the election process, licensing, <br />permitting, maintains and develops a variety of legal records and record retention system that includes <br />records ofthe City Council. Assists the City Administrator in performing clerical and administrative <br />duties and also assists in citizen contact functions. This position is expected to do work of a <br />confidential nature and to perform job duties in a responsible and professional manner; to employ <br />initiative, diplomacy, judgment, and to exhibit a thorough knowledge of general City policies, <br />practices and ordinances. <br /> <br />SUPERVISION RECEIVED: <br />Works under the direct supervision of the City Administrator, except when performing finance, payroll <br />or utility billing functions, which work is under the direct supervision of the finance director. <br /> <br />SUPERVISION EXERCISED: <br />Other part time clerical as assigned. <br /> <br />ESSENTIAL DUTIES AND RESPONSIBILITIES: <br />Administrative Responsibilities <br />. The City Clerk is often the first point of contact with the public and the City's residents and as <br />such, this position requires that the incumbent is friendly, courteous, professional and able to <br />provide accurate information to any public inquiry received via telephones, e-mails, walk-ins <br />and/or mail. As backup to the receptionist, the City Clerk may be required to answer any <br />incoming telephone calls. <br />. Receivc complaints and inquiries from residents in person and over the telephone, responding <br />courteously and ensuring prompt, appropriate action is taken. <br />. Author correspondence, reports, notices, publications, and other documents as requested by the <br />City Administrator. <br />. Research Council actions, ordinances, and resolutions and provides information to the public <br />and City staff in response to inquiries and requests for information. <br />. Assist the City Administrator in the compilation and production of the City Council meeting <br />packet, Planning and Zoning meeting packet and other meeting packets as required. <br />. Responsible for the coordination and follow-through on projects as assigned by the City <br />Administrator. The projects could include contact with residents, the general public, City <br />Council, consultants, City Staff and the staff of other governmental agencies. <br />. Maintain and preserve all City Council records and files presented at City Council meetings, <br />including meeting minutes, agendas, petitions, resolutions, etc. Establishes, evaluates, reviews, <br />and ensures compliance with records retention policies and procedures as required State and <br />City policies. <br />
