MEMORANDUM Date: March 18, 2008 To: City Council From: Jessie Hart, Treasurer Re: Permits and Inspections Software/Data Conversion The building and inspection activities for the City of Gem Lake, which are performed through contract with the. Township, are currently maintained on basic Excel spreadsheets and permits are prepared by hand. White Bear Township currently utilizes a computer program called PermitWorksTM for tracking all permits and inspections from the issuance of the permit to the final certificate of occupancy. This program maintains parcel data for all properties in the. Township as well as the building related information. TR Computer. Sales is the vendor for this program. Building Official Mike Johnson made an inquiry as to the cost to convert parcel data and set- up the permits and inspections module through the same software as the Township uses. The software vendor would set-up a data base separate from the Township that would run from the same software that the Township currently uses. We received a not -to -exceed price of $1,495.00 from TR Computer Sales which would include the conversion of the parcel data and module set-up for the permits and inspections activities. Gem Lake currently uses the same fee structure as the Township so set-up should be minimal. This price does not include the cost of purchasing the raw data from Ramsey County, which is expected to be Tess than $100. The use of this software for Gem Lake would provide a better tracking system on permits and should provide efficiency and time savings in the permitting process. Council is being requested to authorize acceptance of the quote provided by TR Computer Sales to convert parcel data and set-up the permits and inspections module for a price not -to - exceed $1,450.00 and to authorize the purchase of parcel data from Ramsey County. The costs could be taken from the Planning and Zoning Professional Services budget for 2008.
