REQUEST FOR CODNCIL 7â–ºCTION DATE: 4/26/93 <br />Department Arval: Manager Reviewed: <br />ITEM No. f P,,- <br />Agenda Section: <br />Reports and Recommendations <br />Item Eescription: Approval of plans and specifications and authorizing <br />ad for bids, John Rose Minnesota oval. ice system <br />mechanical building, City ` Proj ect 92-23 <br />Background: The Council recently awarded bids for the ice system for <br />the John Rose Minnesota oval. Bids were received in late March and the <br />contract was awarded at a special meeting on April 5, 1993 Work will <br />begin on that contract in appro imately , 3 o to 45 days. <br />In addition to the ice system, it will be necessary to have a mechanical <br />building provided as part of the project to house the mechanical <br />equipment. The plan is also to provide storage for the ice resurfacer <br />within the mechanical building. <br />The attached site plan and building renditions show the location, <br />elevations, and floor plan for this building.' This building will be <br />located at ice level in the'southeast portion df the site. <br />In order to have the mechanical building complete to house the <br />refrigeration equipment, it is necessary to have plans approved at the <br />April 26, 1993, council meeting. <br />Policy objectives: By past policy and state law, it is necessary for <br />the city Council to approve plans and -specifications for projects prior - <br />to- bidding. once the approval of the plans is granted, an advertisement <br />will be run and bids received for the project. <br />Financial implicatfonst As the Council is aware, this project has had <br />are extremely tight budget throughout its design And preliminary <br />construction. At this point, we have allocated $210,000 for the <br />mechanical building and a 5% contingency for a total budget of $220,000. <br />In discussing the budget with the architect, he beleives this is <br />minimally adequate. We will bid a second bay in the building for an <br />additional ice resurfacer as an alternate. Also, several other minor <br />amenities for the building will be bid as alternates, <br />The following budget i-s an updated summary of expenditures to date and <br />anticipated expenditures based on bids received and architect estimates <br />for building components. This budget represents the first phase of the <br />pro3ect as it has been identified in past discussions. with council. <br />
