MEMORANDUM <br />To:Parks and Recreation Commission <br />From:Lonnie Brokke <br />Date:October 28, 2013 <br />November 7, 2013 <br />Re: Notes for Commission MeetingonThursday <br />Introductions <br />1. <br />Commissioners and staff will be introduced. <br />Public Comment Invited <br />2. <br />Public participation and public comment is encouraged. <br />Approval of Minutes of the October 1, 2013Meeting <br />3. <br />Enclosed is a copy of the minutes of October 1, 2013.Please be prepared to approve or amend. <br />Requested Commission Action <br />:Approve/amend meetingminutesof October 1, 2013. <br />Park and Recreation Renewal Program Preliminary Plans and General Discussion <br />4. <br />General Information <br />This is a time where detail isinvolved in the Renewal Program with numerous tasks being <br />coordinated. Optimal proposal packages are being established and final designplans and <br />specifications are well underway for all projects with many 50%or morecomplete. In an effort to <br />keep the construction industry aware of what is coming up, there is another Best Value Pre- <br />Proposal and Education meeting scheduled forNovember 14, 2013. <br />Park Building and Shelter Plans <br />Work in progressplan sets are more than 50% complete for the 5park buildingsand the 3 Central <br />Park shelters that are being replaced. The buildings are as follows: Autumn Grove Park, Lexington <br />Park,Oasis Park, Sandcastle Park and Villa Park.The Shelters are in Central Park and are as <br />follows: Victoria West (Central Park Foundation), Victoria East (ballfields) and Dale Street (FOR <br />Parks). Plans will bereviewed at the meeting. <br />Each building isexpected to vary in theirown way to: fit into the park and neighborhood, include <br />common elements, be functional to the community and neighborhoods needs and involvement <br />andfit programming and use needs. This process has been an interesting evolution, thank youfor <br />your continued input. <br />Initial construction estimates for the Lexington Park “test project” suggest that the costs may be <br />higher than the anticipated budget. As a result, value engineeringmay need to occurand building <br />design mayneed tobe adjusted whilemaintaining a similar theme, styleand function. <br />Staff and a representative fromthe designteam will be present at the meeting to review the plans <br />and gather your additional thoughts. <br />th <br />It is anticipated that these plans will be brought to the City Council at their November 25meeting <br />for their review. <br />Optimal Proposal Packages <br />Enclosed is aspreadsheet that outlines where we are at with identifying the optimalpackagesfor <br />proposals for the entire renewal program. Thiswill providean idea to you onhow a request for <br />proposalswill be framed to gain the most cost effectiveness and efficiencies. Staff and a <br />representative from the design teamwillplan to review this with you at the meeting. <br /> <br />
