Regular City Council Meeting <br /> Monday,November 25, 2013 <br /> Page 14 <br /> eluding 10 years of old data converted into this program, with preventative <br /> maintenance and any service requests for vehicle repair. <br /> At the request of Councilmember McGehee, Mr. Schwartz noted that there were <br /> flags built into the program for preventative and/or periodic maintenance (e.g. <br /> new fire station) such as for HVAC equipment and other typical building mainte- <br /> nance items. Over time, Mr. Schwartz advised that other departments would be <br /> able to get their facilities into the system as well. <br /> At the request of Councilmember McGehee, Interim City Manager Trudgeon re- <br /> sponded that other departments could and would bring their infrastructure assets <br /> online as well. <br /> Councilmember McGehee suggested that, rather than having it accomplished de- <br /> partment by department, consideration be given to someone to oversee this project <br /> to ensure consistent reports across the board versus disparate information; with <br /> Mr. Trudgeon duly noting that request for staff consideration. <br /> Parks & Recreation Director Lonnie Brokke advised that this was a really good <br /> tool and asset to have for the future; and advised that they were in the process of <br /> inputting information, recognizing that it took time to accomplish, but that his de- <br /> partment was making an effort to do so in 2014 as their new buildings came on <br /> line, as well as the existing skating center. Mr. Brokke advised that the infor- <br /> mation was available on spreadsheets, but needed conversion to the asset man- <br /> agement system. <br /> Councilmember McGehee recognized that everyone was busy, with most depart- <br /> ments already having a full plate; and justified her rationale for getting this criti- <br /> cal information completed to provide for better planning for residents and use of <br /> their monies. <br /> Councilmember Laliberte took those comments one step further, and asked that <br /> each department submit a report listing their anticipated implementation plan and <br /> date of completion. Councilmember Laliberte expressed that if one department at <br /> a time was attempted, totally new technology would be available by the time it <br /> was completed. <br /> Interim City Manager Trudgeon advised that staff could prepare such a report; <br /> however, he asked that he be allowed to talk more with Mr. Schwartz and Ms. Ri- <br /> card about the software's capabilities; and training/demonstrations for Department <br /> Heads. Mr. Trudgeon questioned if other departments were even aware of what <br /> this software could accomplish. While it would take some time to evaluate it and <br /> bring it back to the City Council, Mr. Trudgeon committed to do so. <br />
