While this took a huge time commitment of Public Works staff in <br /> 2012 in addition to the daily work load, Mr. Schwartz noted that they had met the <br /> challenge and everyone in the department has a role in this management program. <br /> Mr. Schwartz advised that the remaining work to be done was in the GPS area in <br /> defining utility coverage; and while completion was close, there was some field <br /> coverage missing and would be required and critical to have the data as accurate <br /> as possible; and expected that it would be completed in 2014. Mr. Schwartz an- <br /> ticipated mobile applications in the near future; with as-builts currently accessed <br /> through another software program for availability electronically in the field. <br /> Mr. Schwartz offered his department's assistance to other departments; and antic- <br /> ipated future availability of website requests versus online submittals to admin- <br /> istration and filtered down to various departments, as is currently done. Mr. <br /> Schwartz noted that this would allow city-wide service reports generated directly <br /> to staff people; as well as allowing the public to track the status of their specific <br /> service requests. <br /> Mr. Schwartz noted that time/task sheets were audited by the department every <br /> two weeks by supervisors who reconciled everything through this program to <br /> generate its payroll. While this was a daunting task, with some tasks going be- <br /> yond department lines (e.g. mowing in parks or public rights-of-ways), Mr. <br /> Schwartz noted that the goal was to have all the tasks generic enough to cross de- <br /> partment lines; allowing base work to be completed as more departments come on <br /> line with the software. Mr. Schwartz noted that this took skilled data entry and <br /> GIS staff, and expressed how fortunate the City of Roseville was to have them <br /> available. <br /> Ms. Ricard provided an overview of the three major parts of the software current- <br /> ly in use on a daily basis. <br /> At the request of Councilmember Willmus, Mr. Schwartz confirmed that once the <br /> remainder of the City's infrastructure and utility coverage was in place, with maps <br /> available on screens, as-builts could be pulled up in the field; with huge amounts <br /> of data and information available to allow better management. <br /> Councilmember McGehee expressed her interest in the program and reports, and <br /> questioned if other departments intended to utilize the program or if it would be <br /> funneled through the Public Works Department for buildings and maintenance <br /> beyond parks and infrastructure. <br /> Mr. Schwartz advised that some facilities were already included, especially those <br /> for which the City had contractual maintenance to some extent (e.g. City Hall and <br /> Public Works Maintenance Building), as well as the department's entire fleet, in- <br />
