Friends of Roseville's Harriet Alexander Nature Center (FORHANC)
5P4-AnnualgloCuray Craft, Eair and T4e Contest
To: Interested Crafters and Artists
Sale Date: Saturday, December 6, 2008
Location: Roseville City Hall(NOTZ,',-- neiv localion),
2660 Civic Center Drive, Roseville, MN 55113 (intersection of Lexington and County Road Q
Event hours: 10:00 a.m. — 4:00 p.m.
Set-up time: 8:00 a.m. Please, NO EARLY tear -downs.
Parking: Free. Instructions will be given on the day of the event where to park after unloading your vehicle
Food and Beverages: will be available for purchase on site.
Advertising: Press releases will be sent to all local papers; listings in Internet website calendars-, flyers will be
distributed locally; road signs will be put up where permitted by city code.
Booth assignments will be available at registration on the day of the show. We will try to accommodate requests but
reserve the right to make final placement decisions.
NEW LOCATTOM We're very excited about being able to use most of the space at Roseville's City Hall! There's a
big parking lot for shoppers (parking lot for crafters isn't very far away — we want to keep the close spots for the
shoppers) and an elevator that works all the time (!). There's much more space to work with, including nice wide
hallways, two small conference rooms (I'll talk about those in a minute), even the City Council chambers are at our
disposal. Downstairs there's a huge meeting room and a nice big area where we'll put the FORHANC Caf&, Bake Sale
and Fudge Contest. With two sets of stairs and the elevator (and the draw of all that food) resulting in no real
disadvantage of having a table downstairs, we're putting the cost of a table the same for all crafters, $50.00. For that
you'll get a 6 foot table and as many chairs as you want. The amount of "space" that goes with your table varies
depending on location — some end up with a tad more than others. Jot any special needs (wall behind you, for instance)
on the back of your Registration form.
Back to those small conference rooms. Some might consider them to be very attractive, "exclusive" locations, others
might see them as cut off from the "action;" depends on your point of view. They have glass walls next to the doors
and we'll have some big signs pointing inwards. Inside is a very nice big conference table (we can move it around but
not from the room) and counter space along one wall. The room upstairs would be good for two crafters, or one crafter
that pays for two "tables," while the conference room downstairs would be better suited for three crafters (or, again,
one crafter paying for three spots). We've got photos of these rooms on our website; follow the links at
www.forhang.org. Or contact me, Nancy, and you can arrange a little tour of the rooms so you can see in person what
we're talking about. By the way, there's a third conference room, upstairs, without glass windows, that we plan to
designate a free Child Care Center for the day, offering shoppers a chance to leave their kids for up to an hour to shop
while the kids can play or do craft projects and are minded by volunteers. Another small conference room will be
turned into a coat -check room.
Another thing new this year: we're going to comply with state laws regarding tax IDs. If you have one, fine, just fill
out the Form ST19 and send it in with your registration form. If you don't have a tax ID number then you'll either have
to get one (if you sell at more than one craft fair in 2008, including the Holiday Craft Fair) or sign the bottom of the
Registration Form if you only will be selling at our one event this year and don't anticipate sales of more than $500.
Please help us with this matter. Your registration in our event might be held up if you don't fully comply. We don't
mean to sound nasty and threatening, but if we were caught with crafters that should have been paying sales taxes we'd
be liable for a fine of $100 for each non -complying crafter. For the first four years of this event we've been lucky!
For more information please contact me at the number or email address below. Please note that I'll be out of town from
July 22 -August 12 but might be able to answer email from my vacation destination. Thank you for your interest,
Nancy Robbins, event volunteer organizer
(651) 489-3601, e-mail. nancycLinz@yahoo.com
