Memorandum <br />: DRAFT December 8, 2016 <br />Date <br />Potential Engagement Tools: BRAND PROCESS AND CARRY THROUGH TOOLS <br />Community Engagement Plan <br />What we do: The LHB/WSB team works with you to establish project schedule, budget, <br />o <br />communication methods, and most importantly, set goals for the engagement process. <br />We discuss who we want to reach, what we want to tell them, and what we want to learn <br />from them. We also discuss what has worked well in the past and what tools have or <br />havenÔt been tried before. And we try to tailor our process to work well with other <br />outreach efforts you or others may be conducting in your community. <br />Why we do it: This step ensures that we have a shared vision for the engagement process <br />o <br />and that we have a framework against which to measure our progress at various stages of <br />the project. <br />How we do it: We will begin this process at a workshop with members of the Planning <br />o <br />Commission and other related committees and commissions. <br />How often/when we do it: This is where and when we start! <br />o <br />Public Open House <br />What we do: We foster a discussion between project stakeholders at various stages in a <br />o <br />design or planning process. This may include introducing the process, reviewing <br />opportunities and challenges, envisioning future scenarios, developing a shared vision, <br />reviewing proposals and designs, and so forth. The most important consideration is how <br />to develop positive communication that supports the projectÔs success. <br />Why we do it: Open houses are a good way to provide a transparent, public forum for <br />o <br />discussing a project at conception and reviewing project progress at key intervals. They <br />can also foster dialogue between stakeholders. <br />How we do it: Based on our goals for the Open House, The LHB/WSB team develops an <br />o <br />agenda, presentations, discussion questions, boards, exercises, comment cards, etc. We <br />usually conduct the meeting, although some clients prefer to conduct the meetings <br />themselves with our support. <br />How often/when we do it: Most processes include one to three open houses, depending on <br />o <br />the project scope and schedule. <br />Charrettes and workshops (potential tool) <br />What we do: Charrettes and workshops provide an opportunity for the design team and <br />o <br />community members to plan and design together. They build a shared understanding of <br />opportunities and constraints and foster focused, creative thinking. <br />Why we do it: By focusing on a project in an intensive way, we can often jump start a <br />o <br />project and provide a lot of excitement and momentum. It is often a very efficient way to <br />get through the very iterative early steps of design and review. <br />How we do it: Based on our goals for the charrette, The LHB/WSB team develops an <br />o <br />agenda, presentations, base maps, exercises, etc. We also provide direction during the <br />meeting, but it is a very collaborative and flexible format. Charrettes can last several <br />hours or several days, depending on the needs of the project. <br />How often/when we do it: Most charrettes and workshops are conducted once during a <br />o <br />process, usually after existing conditions have been well established but before design and <br />planning has progressed very far. <br />Panel discussions (potential tool) <br />What we do: A team of experts on various aspects of the project can present and discuss <br />o <br />important aspects of a project in a public forum, as well as answer questions. <br />Why we do it: This can be a very fun and efficient way to educate a community on many <br />o <br />aspects of a project. <br />How we do it: We work with you to determine what experts can be invited and then <br />o <br />develop some leading questions. <br />How often/when we do it: Usually only occurs once at the early stages of a project, but can <br />o <br />be used for different reasons at different stages. <br />Focus Groups <br />What we do: Based on our goals for the project, we plan a series of meetings on discrete <br />o <br /> <br />
