Regular Planning Commission Meeting <br />Draft Minutes – Wednesday, December 7, 2016 <br />Page 6 <br />Ms. Perduadvised that it would be set up shortly, probably after the first of the year, and <br />220 <br />serve as a central repository of information.Ms. Perdunoted that in addition to that <br />221 <br />repository for team review, a public website would also allow for community engagement <br />222 <br />for the process and with a different purpose. <br />223 <br />At the request of Chair Boguszewski, Ms. Perduclarified that some of the repository site <br />224 <br />would be accessible by the public as well. <br />225 <br />Ms. Collins advised that staff would work with WSB on retrieval of that information (e.g. <br />226 <br />laser fiche) for an easy way to map those documents in one location and then put them <br />227 <br />on the comprehensive plan website page; with Chair Boguszewski duly noting that idea. <br />228 <br />Various components of the preliminary schedule were addressed and their color coding <br />229 <br />(e.g. Table of Contents) and a realistic and timely framework to accomplish them or <br />230 <br />those already in place. <br />231 <br />Ms. Major clarified the term “kick off” in terms of internally such as tonight’s meeting; and <br />232 <br />that intended for the public in a more formal way anticipated in January of 2017 after <br />233 <br />which tonight’s discussion could be incorporated into that process and anidea of some <br />234 <br />dates that could work for that public process. <br />235 <br />Chair Boguszewski agreed that it was unrealistic to expect additional meetings in <br />236 <br />December; but suggested consideration of a regular date from individual commissioners, <br />237 <br />with staff assistance, to incorporated an additional PC meeting specific to the <br />238 <br />comprehensive plan update as a standard unless more detailed areas come forward <br />239 <br />after March of 2017 and require more meetings. <br />240 <br />With Member Bull stating his preference for a public announcement for the formal public <br />241 <br />“kick-off” meeting, Ms. Major clarified that part of tonight’s discussion should include how <br />242 <br />each of those meetings should be noticed. <br />243 <br />Chair Boguszewski noted the need to start now! <br />244 <br />Member Kimble suggested developing something exciting for branding the community <br />245 <br />engagement process; with Ms. Major agreeing that was included in the “key messages” <br />246 <br />section of their memorandum of November 29, 2016; and needed serious consideration. <br />247 <br />Specific to public notifications, Ms. Perdunoted that PC meetings were obviously public, <br />248 <br />but when moving more into other public events or engagement opportunities, she <br />249 <br />anticipated using many different avenues to advertise those options; and asked for staff <br />250 <br />and PC ideas. <br />251 <br />Chair Boguszewski suggested all public meetings be announced and follow the same <br />252 <br />meeting notification rules. <br />253 <br />Ms. Collins opined that the City Council may want to be invited to the formal kick-off, and <br />254 <br />thus would need routine notification requirements anytime a quorum of them may be in <br />255 <br />attendance. <br />256 <br />Chair Boguszewski agreed that the public “kick off” should be billed and serve as a <br />257 <br />celebratory event. <br />258 <br />At the request of Member Bull, Ms. Collins advised that staff was fully aware of public <br />259 <br />meeting restrictions and as addressed by the Uniform Commission Code noted the <br />260 <br />process for calling special meetings and three-day notification rules followed by a Class <br />261 <br />B Statutory city. <br />262 <br />As he had addressed earlier, Chair Boguszewski advised that his intent was that one or <br />263 <br />two representatives of the PC volunteer to serve as point people to meet with each <br />264 <br /> <br />
