4 RFP Process <br />4.1 Schedule and Proposal Instructions <br />To the best of its ability, the City will use the following process and schedule shown in Table 1 <br />for its decision -making: <br />Table 1 <br />Current RFP Schedule* <br />Event <br />Date/Time <br />REP issued <br />March 3 <br />Mandatory re- ro osal meeting <br />March 11 at 1:00 p.m. <br />Respondents' questions regarding REP to be submitted to City <br />March 16 by <br />4:00 p.m. <br />Notification of intent submitted to City <br />March 16 by <br />4:00 p.m. <br />City answers to questions issued to pre -proposal meeting attendees <br />March 25 by <br />4:00 p.m. <br />Proposals due to City <br />Aril 2 by <br />4:00 p.m. <br />Interviews of finalists <br />Week of April <br />19 <br />Optional tours of designated MRF s <br />Before May <br />7 <br />City Council meeting to authorize Contract negotiations <br />May 17 <br />Execution of Contract <br />I June 18 (approximately) <br />Note: <br />*These dates are subject to change as the City deems necessary. <br />All contact by prospective Respondents and their agents regarding the City's REP and <br />procurement decision -making must only be made with the City's designated contact person, <br />Ryan Johnson, until after final execution of a new recycling Contract. Prospective Respondents <br />are encouraged to contact Mr. Johnson with questions or requests for more information. Other <br />unauthorized contact made with other persons (for example, City staff, elected officials, City <br />residents, County staff, consultants, etc.) may, at the sole discretion of the City, disqualify the <br />Respondent from consideration. <br />Respondents are required to attend the pre -proposal meeting at 1:00 p.m. on March 11, 2021 at <br />Roseville City Hall. (As an exclusive alternative, the City may schedule an online meeting if <br />needed to provide for COVID-19 safety.) Proposals from Respondents that do not attend the <br />meeting will not be considered. <br />Respondents' questions, requests for clarification, or requests for more information about this <br />REP or process must be submitted no later than 4 p.m. March 16, 2021, by email to: <br />Ryan Johnson, Environmental Manager <br />Ryan. JohnsonAcityofroseville. com <br />All questions and requests for more information and the City's responses will be summarized in <br />writing and emailed to all parties recorded by the City as having attended the pre -proposal <br />meeting.
