Advisory Task Force Meeting
Long Range Plan Workshop
May 14, 1996

At the April meeting, the Advisory Task Force picked categories from the long range
plan as areas they wished to pursue. At the May meeting, four members attended and
carne up with initial suggestions. Their comments follow.

I Standards for memos - established criteria should be generally disseminated to staff

I Rotate employees through different positions - increase appreciation for others and
overall knowledge - makes all employees more valuable

I Have standardized language -fill in factual data for most cases

I Staff to discuss allegations with complainants to assess whether there is merit to possible
complaints.

I Have assistance from attorneys (A. G. or otherwise) to assist with writing charges.

I Set guidelines for triage handling of intake phone calls - when can callers be told "no
need to proceed with this claim"? Rotate person taking phone calls.

I Consider amending statute to permit commissioner to require mediation and suspend
time periods for up to 90 days.

I Have weekly training sessions (one hour) for staff on new and old issues - keep ideas
and process fresh!

I Develop model(s) investigation plans/steps. Should make investigating more efficient.

I Information sharing should lead to a sense of ownership and pride-in-product. Case
inventory statistics should be graphed and distributed or posted so entire team can take
pride in progress. (See attached sample)

I Question: How effective are local Commissions. My only experience was less then
inspiring.

I Offer training to local human rights commissions.

I Interns and volunteers will be easier to find if a liaison establishes relationships with
schools - i. e., work with law schools to set up speakers, presentations to students and
thereby, snare interns.

I Have an inter-net home page with information about the agency, how it works, how
charges are processed, typical time frames, copy of statute and access to status of
individual cases.
