• What meetings and constituent conversations does each person already attend and what is <br />the schedule of those meetings? <br />• What would define success in terms of increased team building and work style analysis <br />by the Council? Ex.What would there be more of'? What would there be less of'? <br />• What is important to do and not to do during the three sessions we plan to have together? <br />B. Consultant and City Manager (with support from key department heads) will collect <br />materials/reports and produce an integrated summary of them. <br />C. Consultant and City Manager will also develop a project implementation plan that integrates <br />schedules and maximizes the opportunities and time commitments that are already in place. <br />Confirmation of open meeting t�� application and how public observation will �- handled <br />etc. will also be included. <br />D. Council will receive a"background" briefing folder on existing informationlma�erials related <br />to the development of City-wide goals and existing accountability measures which identifies <br />critical issueslsirategic choices and identifies "gaps" that are critical for the Council to <br />address during its sessions. Council members will be asked to read this material in <br />preparation for the third session. <br />E. Council Members will be given 4 self-assessment tools. The first two will be used in the <br />"Work Style" session and are the Myers-Briggs Profile and the Leadership Style Inventory. <br />The second two will be used in the "Team-Building" session and are the Learning Style <br />Inventory and Conflict Mode Inventory. Council members will be asked to score these <br />instruments at their convenience and send the results by email to the consultant in time for <br />the sessions in which they will be used. <br />F. Council members will he given a set of questions and guidelines for conducting "focus <br />groups". Each Council member will be asked to talk with between 4 and 6 groups and at least <br />10 individuals to collect information in preparation for the third session, which is ihe <br />"Strategic Goal-Setting" session. <br />Step 2: First Session <br />A. The Consultant will conduct first session on "Work Styles" <br />Draft agenda includes: <br />• Overview of the instruments <br />• Sharing by members of their scoring on the instruments and their reactions to how they <br />scored <br />• Exercises that demonstrate how the diversity of styles can be understood and integrated into <br />the work of the Council <br />• The Council will develop process�s/ground rules or norms that reinforce how they want to <br />work together and how staff can best provide information to support an efficient and <br />effective work environment for each member <br />• Closing reflections on the "Work Style" session and its effectiveness <br />• Agreed upon summary that can be discussed during regular Council meeting to keep citizens <br />reasonably informed about the work and the benefit it is having <br />• Check-in about progress on gathering information from constituents in preparation for the <br />third session on "Strategic Goal-Setting —reminder to continue collecting information <br />• Reminder to complete second two instruments before the next session <br />
