Date: 06/12/06 <br />Item: 11.a <br />Materialsin <br />Council Packet <br />MEMORANDUM <br />TO: MEMBERS OF THE ROSEVILLE CITY COUNCIL <br />FROM: AMY IHLAN <br />SUBJECT: POLICY ISSUES RE: E-MAILS ADDRESSED TO COUNCIL <br />MEMBERS AND INCLUSION OF MATERIALS IN ON-LINE <br />COUNCIL PACKET <br />DATE: JUNE 5,2006 <br />As background for discussion at the next meeting concerning e-mails addressed to <br />the council and city policy for including materials in the council packet published <br />on-line, I would like to raise the following questions: <br />l. When e-mails are sent to eitv.councilC�ei.raseville.mn.us, who receives copies <br />of the message? <br />2. What is the staffs practice on forwarding citizen e-mail addressed to city <br />council members to third parties (people outside of Roseville city <br />government)? <br />3. Is there a city policy on forwarding citizen e-mails to third parties? <br />4. Is there a city policy on treatment of personal information submitted to the <br />council by citizens (such as home addresses and e-mail addresses), and <br />whether this personal information can be published on-line as part of the city <br />council packet? <br />5. Who determines when and what e-mails are included in the city council <br />packet (and get published on the internet?) Is there a city policy on this? <br />6. Does the city privacy policy (posted on our web site) apply to these issues? <br />Does the Government Data Practices Act apply? <br />
