ATTACHMENT IS <br />Task Force Meeting Minutes <br />Kevin presented information on rates for banquet room rental. He noted <br />that the rooms are used by groups affiliated with the city at no cost and revenue is <br />generated by private rentals, such as wedding receptions, etc. <br />The trend has shown an increase in private rentals during the past 4 years <br />leading to an increase in revenue. <br />Meeting room use by waived-fee users does add to the wear and tear on <br />the facility, however, the philosophy of the city has been that use by affiliated <br />groups helps create community so it is valued. Moreover, there was a loss of <br />community meeting areas when the Arona facility was torn down — the use of the <br />skating center roams covers this loss. <br />Items since last meeting: <br />Lonnie and Jake presented the outcome of the city council meeting of May <br />9. The council voted to allow plans and specifications and open the repair process <br />for bids. The engineering task force recommended the retubing of the present <br />chiller — the analysis by Stephens Engineering ruled out replacing the chiller with <br />a plate and frame system and the possibility of linking the OVAL and arena <br />chillers at this time. Some improvements will also need to be made to secondary <br />refrigeration systems, including a brine purge tank and site glass for better <br />monitoring. Bids should be delivered to the council in time for them to make a <br />award a contract for retubingirepair on June 20 which would keep the project on a <br />timeline for projected reopening in Nov. <br />7. Review charts from April ����� meeting: <br />Jake placed large charts on the wall for our review, the charts are also <br />included in the meeting packet. <br />6. Confirm next meeting date, agenda: <br />Next meeting Thursday, May 19 at 6:30, and meetings every week in <br />order to prepare report to city council before June 20. agenda item 5— operating <br />efficiencies will be discussed, more discussion on user fees, charitable gambling <br />and the appropriate level of subsidy by the city. <br />9.
