Currentlyjanitorial services at city facilities are managed <br />on a building by building basis with a mix of contractual and in-house services. Staff has been <br />asked to evaluate single source janitorial services for city buildings. The City facilities covered <br />in this evaluation are City Hall, Fire Station �� E(public areas), the License Center, the Nature <br />Center, the Skating Center, and the Maintenance Garage offices, restrooms and conference <br />rooms. <br />Staffhas met with department heads and building managers to provide and evaluate current <br />cleaning schedules, staffing, and levels of service for each facility. With this information, we <br />were able to enlist the help of one of our current vendor's scheduling and staffing program to <br />build a service model for the City of Roseville. We modeled two levels of service for these <br />facilities. These service standards were reviewed by the staff for additional comments. We are <br />nearly finished with this portion of the project. We will also be seeking pricing on some light <br />handyman duties. We will also ask forpricing on carpet cleaning and exteriorwindow washing <br />on an as needed basis. <br />We are in the process of writing a request forproposal document to detail our specifications and <br />expectations in procuring a vendor for these services. Our hopes are that by combining these <br />services into one contract we will see some efficiencies gained that will result in an overall <br />decrease in the cost of these services to the City. <br />We would like to advertise for these services in late December or early January and receive <br />proposals by February 7th. We would expect to have a recommendation to the Council at your <br />last meeting in February. <br />The evaluation of the proposals will compare current costs of these services to the existing costs. <br />We will also be evaluating the City costs against industry standards. <br />RECOMMENDED COUNCIL ACTION: <br />Motion authorizing staff to advertise forproposals forjanitorial services for City facilities. <br />Prepared By: Duane Schwartz <br />
