5 <br />• Development and implementation of community engagement plan to solicit <br />feedback from community on desired facilities and programming. <br /> <br /> Alternate 1 – Assessment of Space Needs of the Public Works Facility <br /> <br />• Evaluation of existing and future needs including but not limited to: staffing; <br />operation and work areas; and equipment and material storage. <br />• Evaluation of buildings and potential site needs for office space; workshop areas; <br />meeting space; and interior and exterior storage for equipment and materials. <br />• Determination of gross areas to accommodate all staffing, operations and storage <br />for ultimate needs. <br /> <br />C. SPECIFIC REQUIREMENTS FOR THIS PROJECT <br /> <br />1. The City desires to incorporate sustainable design elements into this project by <br />considering the Minnesota Sustainable Building Guidelines and LEED <br />certification from design through construction however no documentation will <br />be required. <br /> <br />D. GENERAL EXPECTATIONS OF SERVICES <br /> <br />1. Review prior architectural work and meet with staff as necessary to identify <br />issues and alternatives related to the project. <br />2. Attend meetings as necessary including public presentations. <br />3. Prepare 12 copies of the final report and final project design. <br /> <br />E. SELECTION TIMELINE <br /> <br />The following timeline represents the City’s best estimates for the completion of <br />major milestones regarding this RFP: <br /> <br />• Distribution of RFP..........................................................February 17, 2017 <br />• Pre-proposal meeting .......................................................March 15, 2017 (2pm) <br />• Submission of proposals to City ......................................March 31, 2017 (4pm) <br />• Interviews with selected consultants................................April 11-13, 2017 <br />• Approval of consultant by City Council ..........................April 24, 2017 <br /> <br />F. TENATIVE PROJECT TIMELINE <br /> <br />• May 2017: Begin Lifecycle and Maintenance Assessment of Existing City Hall <br />study <br />• October 2017: Complete Lifecycle and Maintenance Assessment of Existing City <br />Hall study <br />• November 2017: Begin Conceptual Design, Site Assessment and Cost Estimation <br />including Community Engagement <br />• March 2018: Complete Conceptual Design, Site Assessment and Cost Estimation <br />• April 2018: Presentation on the findings and report to the City Council <br />
