Professional Services Agreement <br />Arden Manor and Floral Parks <br />Playground Equipment Replacement and Reconstruction <br />Design and Construction Administration Services <br />November 10, 2021 <br />Page 4 of 14 <br /> <br />Version2.3 02052021 <br />vi. Construction Detail Sheets. These sheets will provide all of the necessary <br />construction details to construct the improvements listed above. <br />vii. Landscape Plan. Sheet will indicate any tree, shrub or planting locations <br />and species callouts including plant schedule. <br />d. Refined EOPCC will be prepared for the project once these documents are <br />complete and prior to bidding the job. The EOPCC will be broken into CDBG <br />eligible costs for the Arden Manor Park for clarity, tracking and reporting <br />purposes. <br />e. Progress Meetings. COMPANY shall conduct three (3) progress meetings with <br />the CLIENT during this phase of the work. The first meeting will occur following <br />the public engagement and involvement and confirming the conceptual layout. <br />The second meeting will occur after conceptual layout, at a roughly 50% <br />complete stage and will focus on the progress and completion of the phase. <br />CLIENT will offer input as to the layout, grading and details, and will instruct the <br />COMPANY as to any necessary revisions. The third meeting will be at the 90% <br />complete stage and will offer the CLIENT a final opportunity to make refinements <br />prior to bidding the work. <br /> <br />6. Bidding Assistance <br /> <br />a. The COMPANY will assist the CLIENT in bidding this work. COMPANY will <br />prepare bid documents for CLIENT to advertise and post the project. CLIENT will <br />disseminate contract documents and COMPANY be available to answer inquiries <br />and questions from prospective bidders, and issue addenda as appropriate to <br />clarify or expand the bidding documents. <br />b. COMPANY will assist the CLIENT in conducting a Pre-Bid meeting with all <br />prospective bidders. <br />c. The COMPANY shall have a representative present when bids are opened and <br />shall make a tabulation of bids for the CLIENT. COMPANY shall analyze the bids <br />and advise the CLIENT as to a recommendation on award. <br /> <br />7. Construction Administration <br />a. COMPANY will facilitate a preconstruction meeting and provide up to 150 hours <br />of on-site construction observation, weekly construction meetings, prepare <br />observation logs, review and approve pay applications, report on contractor <br />wages review, respond to requests for information and prepare change orders. <br />COMPANY will keep notes and take pictures when onsite during construction to <br />be provided to the CLIENT. <br /> <br />3.0 Deliverables and Schedules Included in this Agreement <br /> <br />1. Meetings <br /> <br />The COMPANY anticipates that this project will require up to seven (7) meetings with the <br />CLIENT and public to complete the required tasks.
