Arden Hills Parks and Recreation Committee Meeting 7 <br /> February 26,2002 <br /> . OTHER ITEMS FOR DISCUSSION <br /> A. Michelle Olson- Town Hall Meeting and `Day in the Park'/City Event Task Force <br /> Ms. Olson stated that they are in the preliminary stages of planning. She explained that the <br /> biggest item right now is the April 20, 2002 Town Hall meeting. She stated that there would be <br /> an Open House in conjunction with the meeting. She stated that the meeting is scheduled from <br /> 9:00 a.m. to 12:00 p.m. with Open House activities scheduled until 2:00 p.m. She stated that the <br /> activities planned would include face painting, tours of the building and a ribbon cutting <br /> ceremony. She asked for volunteers from the PTRC Committee to assist with the activities at the <br /> Open House. She asked that they mark off the morning stating that they would provide a <br /> schedule of shifts for the activities. She stated that they would have a Parks and Recreation <br /> station with a copy of the Comprehensive Plan available for review. She explained that this <br /> group would also provide tours of the building. She stated that she would provide information to <br /> the Committee, as it becomes available to her. She stated that the next meeting would be held in <br /> two weeks. <br /> Ms. Olson provided the Committee with an update for the "Day in the Park" event scheduled to <br /> take place in June 2002. She stated that they are trying to plan a fun event noting that it would <br /> not be at the same level as the 501" Anniversary Celebration. She stated that they are hoping for <br /> something just as successful with a good draw from the Community. She stated that they would <br /> like this event to become a tradition that would include a parade that would end at Tony Schmidt <br /> • Park. She stated that the individual who managed the parade last year is not interested in doing it <br /> this year adding that they are in need of a volunteer. She explained that if they were not able to <br /> find an individual to assist in the parade that they would not have the parade this year. She stated <br /> that they would still plan for the `Day in the Park' section that would include activities, music <br /> groups and booths. She stated that it would not be as spread out as the 50t" adding that they <br /> would like to include a fireworks event at the end of the evening. She stated that their biggest <br /> goal is to find volunteers to assist with the planning of the event and the work schedule for that <br /> day. She stated that the parade was the most popular item for the entire day adding that it would <br /> be sad if they are not able to have the parade this year. She stated that it takes two or more <br /> people to plan the parade adding that she does not have time to manage this part of the event. <br /> She stated that she would like to see a couple of individuals sit down with Barb and work that <br /> part of the plan. She explained that the Committee is struggling stating that many have left the <br /> Committee. She stated that they meet once a month and that they have broken the group into <br /> various committees with assigned jobs which alleviates any waste of time in the planning <br /> process. She explained that each Committee reports back to the group with an update. She <br /> explained that if the parade is not quality that they would not do it adding that the intent is to <br /> draw everyone to the park for the rest of the day. She stated that any help would be appreciated. <br /> Chair Straumann asked the City to provide a sign up sheet for the activities. Ms. Olson stated <br /> that she could bring the sign-in sheets to the March Committee meeting. She stated that the `Day <br /> in the Park' event is scheduled for June and that they have time for planning the event. She <br /> • stated that she would like to encourage input from the Community and announced that the next <br /> Event Task Force meeting is scheduled for March 13, 2002. <br />
