<br /> - <br /> - <br /> . <br /> .'- PROJECT COSTS <br /> Each respondent should develop a budget itemization consistent with the proposal <br /> document. As a guide to proposers in assessing the overall scope of <br /> . professional services sought. a maximum cost figure of $100,000 is the absolute <br /> upper limit for contractual services including both professional fees and out of <br /> pocket expenses. <br /> . Actual payment for consultant services will be based on billing rates and <br /> chargeable fees in accordance with specifically identified actual costs and <br /> profit , and as set forth in a Professional Services Agreement to be negotiated <br /> . vi;:h the selected consultant prior to contract award. The contract shall <br /> include estimated not to exceed cost figures for major project elements and firm <br /> not to exceed cost figures for professional services. A firm not to exceed <br /> . total project cost figure, including professional fees and out of pocket <br /> expenses, shall be indicated. Out of pocket expenses will be reimbursed <br /> separately based upon invoices for actual expenses incurred. Proof required to <br /> document actual expenses will be negotiated as part of the con trac t. The County <br /> . project manager reserves the right to require prior approval of all major <br /> expenses. See submittal format requirements in the next section for a full <br /> explanation of cost itemizations to be included in the proposal document. <br /> . Payment schedules will be negotiated prior to contract award. An appropriate <br /> retainage will be required to assure acceptable results and timely completion of <br /> 1- all project tasks. <br /> PROPOSAL CONTENTS <br /> . Proposal text shall be limited to 10 single-sided pages. Supporting tables, <br /> graphics, staff resumes, and technical references are not included in this <br /> limit . Additional information, such as company literature, may be included in <br /> I the submittal but should be provided as attachments to the proposal, not as part <br /> of the proposal text. All proposals should include the following information: <br /> 1- Cover Letter - Introduce the lead consultant submitting the proposal, <br /> I including the name and address of the contact person(s) representing the <br /> same, and also names of other firms or individuals participating in the <br /> proposal. <br /> . 2. Introduction - Restate RFP objectives and products to demonstrate the <br /> respondent's view and understanding of the proj ec t. <br /> I 3. Experience and Qualifications - Identify the general background, s true tUl-e <br /> and organization, and available resources in personnel/experience/ <br /> information systems of the participating firm or firms.. List at leas t five <br /> . client references (include address and phone number) with a brief statement <br /> of services rendered. Addi tional information should be included to <br /> demonstrate competence and performance ab ili ty in similar projects. The <br /> I project manager and other members of the project team should be identified. <br /> The respondent should identify personnel, along with a description of which <br /> -' proj ec t tasks each will be responsible for, and relevant detail of thei r <br /> I -"5 - <br />
