<br /> I <br />Memorandum - Committee Roles I <br />Page Two <br />March 4, 1997 -- <br />Role of Committee/Commission <br />Each committee would elect a Vice Chairperson and Secretary. It would be the responsibility of I <br />the chairperson to provide staff with the agenda for upcoming meetings. The Secretary would <br />keep all minutes and provide them to staff for processing and inclusion in meeting packets. The <br />committee would set its agendas based on the prioritized goals of the City Council. The I <br />committee may wish to prepare a preliminary agenda for each meeting to be held during the <br />calendar year which would be reviewed by the City Council. <br />Number of Unexcused Absences I <br />The City has not recently followed any set procedures on the number of unexcused absences <br />from committee/commission meetings. Several years ago, there was an informal policy that I <br />missing three meetings in a year was reason for not being re-appointed. The City Council may <br />wish to state that committee members are expected to attend all meetings and should notifY City <br />staff if they are unavailable to attend. Unexcused absences of three or more may be grounds for I <br />termination of the appointment by the City Council. <br />Number of Members I <br />See below. The Planning Commission is allowed, by code, seven members. Staff would suggest <br />allowing up to a maximum of nine (9) members on each remaining committee/commission. f# <br />Service on Multi1)le Committees <br />The City Council indicated that a resident can serve on up to two (2) different I <br />committees/commissions at any given time. <br />Committee Objectives I <br /> Business Relations Committee (9 members by resolution) <br />The purpose of this Committee is to advise the Council on matters concerning the I <br />preparation and development of marketing plans and programs, plans for business <br />retention, and coordinating activities with the Chamber of Commerce and other groups <br />active in the City. This Committee meets regularly once each month, currently at 8:00 I <br />A.M. on the third Wednesday of each month. <br />Ray McGraw - City liaison for Chamber of Commerce activities - quarterly reports to I <br />Council. <br /> Finance Committee (7 members current) I <br />This Committee is dedicated to providing citizen input on issues have a financial impact <br />on the City of Arden Hills. Meetings are held at 7:30 P.M. on the third Thursday of each I <br />month. <br />Charlotte McNiesh - Ex-Officio, infrequent 3 - 4 meetings per year -. <br /> I <br />---- -- -- -------------- ___.._______u___ <br />
