. Memorandum, City Hall Status
Page Five
March 23, 1998
The attached Schedule 1 attempts to identifY estimated impacts from existing cost levels for
savings for gas and electric utilities, janitorial services, security monitoring, emergency building
repairs/improvements, and initial fit out costs. Schedule 1 also identifies cost categories that
would be involved in such a temporary move including moving costs, phone services, letterhead
and forms. and demolition of the existing City Hall building at 1450 West Highway 96.
Public Notification
If the City Council wants to pursue either of these leasing options, several public notification
steps need to begin immediately. These include:
. April Utility Billing
. May Newsletter
. Parks and Recreation Brochure
. Press Releases
. Committee Meetings
. Update Stationary and Business Cards
. U.S. Post Office
. Other Notification .
If the Council were to look at May 1, 1998 as the target move date, staff also will need to give a
variety of notices to our vendors, which include:
. U.S. West
. Janitorial
. Recycling
. Utilities
. Insurance
Project Schedule/Maior Discussion Points
In summary, there are a couple of key issues the Council should carefully consider as it selects a
site for city hall facilities.
. Timin~
It is important for the City Council to keep in mind that, should a decision be
made to lease, there is still a need to recognize some very important deadlines.
Specifically, the lack of a land lease with the National Guard affects several
decisions.
.
