<br />. <br /> <br />. <br /> <br />. <br /> <br />Memorandum, City Hall - Committee Findings Swnmary <br />Page Two <br />March 22, 2001 <br /> <br />A remote reader system will allow the designated building manager a tool to provide a card to a <br />user that will gain access to a certain amount of space in City Hall, but denies them access to the <br />parts that are not appropriate, with a minimal financial and time investment on the City's - or <br />their - part. We will need to develop a policy on potential fees for such a card, return of card or <br />deactivation of cards, but it would not prove as labor intensive as the current key program. <br /> <br />The project's general contractor, Rochon Corporation, has provided a cost estimate of <br />$18,000.00 for remote readers for the main lobby entrance, the staff entrance, City COllilcil <br />Chambers entrance, and potential future for restrictions for access of the elevator to either the <br />second or lower level. Cost comparisons to private, outside vendors, indicate a very competitive <br />rate, and we will realize savings by having the same contractor install the remote reader system <br />who is a subcontractor for other project-related installations. <br /> <br />Technolol!V <br />The Technology Committee looked at the needs of the staff in terms of computer hardware and <br />software, network and the potential for website and email access. They are recommending that <br />the City COllilcil authorize an expenditure of up to $30,000.00 for the purchase of new <br />computers and software (of which $7,500.00 has been spent to-date through the City of Roseville <br />for the purchase of five (5) new computers). This would include the ability of all the staff <br />computers to be networked on a local area network; all computers would have access to the <br />Internet and personal email; and a comprehensive and coordinated software package. <br /> <br />Today, the City has a mix and match software system, with everything from Windows 95, 98 or <br />NT. As noted in the enclosed information (Attachment C - Staff memorandwn dated March 8, <br />2001) is the purchase of a digital scarmer. There is a high need for this, as was pointed out <br />during the Walgreens case, it is important that the City be able to scan old physical documents <br />into electronic format for easier access and coordinated use. <br /> <br />cc: Staff committees <br />
