CONS: <br /> <br />1. <br /> <br />Cost: <br />This year's dilmer cost $5,100 for the food and $7,500 for dinner <br />tents/tables/chairs, We brought in $2,878 in ticket sales, So, the <br />City basically had $9,722 more in expenses than revenue regarding <br />the BBQ dimler. We paid $10,50 per ticket plus $2,25 lor <br />beverages, Our staff committee felt like it would be difficult to <br />sell tickets above $8,00 and felt like it would be important to have <br />a child's ticket price. We also felt that the beverages are very <br />difficult to handle on our own and we felt that having a variety of <br />beverages was important. W c could reduce the beverage count for <br />ncxt year. I don't think you would want to go much below 1.5 <br />beverages per person (this would save us approximately $1.00 per <br />person), Is the City Council comfortable investing this much <br />money in a catered dinner? <br /> <br />e <br /> <br />11. Ticket Sales: <br />Ticket sales are unpredictable. We must give the caterer a final <br />count no later than one week before the event. Therefore, it ends <br />up being a guessing game, If the weather is good (as this year's <br />event had been), I anticipate that we will generally always have <br />success selling tickets and even sell out the day of. Therefore, we <br />generally try to havc approximately 100 tickets available for sale <br />the day of (as we did this year), If the event falls on a day with <br />challenging weather, we would not be as successful selling tickets <br />and would be stuck with a lot of extra food, The City would pay <br />for all un- purchased tickets. <br /> <br />. <br /> <br />Another issue is who should receive complimentary tickets. <br />In 2003, we decided to give out a designated number of <br />tickets to the different levels of sponsorships, For example, <br />the $1,000 sponsors all received 10 complimentary tickets, <br />$750 sponsors received 8 complimentary tickets, and so on <br />for a total of 89 complimentary tickets, This made it difficult <br />to know how many of those 89 would actually be used, If <br />Council wants to give out these tickets to sponsors, could we <br />find a way to make sure thc tickets get utilized?
