It is the purpose of thIs policy to <br />provide employees with standards of behavior when using e-mail and the Internet. It is <br />also the purpose of this policy to suggest guidelines for use which will ensure the <br />security and integrity of the City of RlChfiefd's information systems. <br /> <br />~ <br />TheCity of Richfield's computers and informatlon produced on City computers are the <br />sole property of the City. The City has exclusive rights to retain, maintain, modify or <br />delete files. <br /> <br />USE OF EQUIPMENT <br />Employees should use the same care when creating electronIc communications as they <br />would use with oral or other written communication. Existing,policies governing <br />employee behavior, both within the wor1<place and when interacting with the ge!'leral <br />public, apply to eleetronic communications. . :. _ <br /> <br />Allowable uses of electronic systems and information include the following, to the extent <br />that these uses are for the purpose of conducting City of RiChfield business: <br /> <br />· to facilitate pelformance of jOb functions; , <br />· to facilitate the communication of Information In a timely manner; <br />· to coorclinete meetings of individuals, locations and City resources; <br />· to communicate with other departments throughout the City; <br />· to communicate with outside organizations as required In order to perform an <br />employee's job functions, <br /> <br />Personal use of e-mail should be limited to blief. COncise messages (as with personal <br />phone calls). Preferably personal e-mail should be sent or read during lunch periods or <br />breaks. If printing personal a-mail there is a per page charge. (See City policy on <br />personal use of office equipment) <br /> <br />Prohibited uses include, but are not limited to, Internet sites and e-mail reflecting: <br /> <br />· adult entertainment and sexually explicit material; <br />. web sites promoting violence or terrorism; <br />· illegal use of controlled substances (drugs); <br />· Intol,erance of other people/races/reUg/ons, etc, <br /> <br />ACCESSIBILITY <br />Electronic 1I1es that store e-mail me$$!Qes and other documents are the City's property. <br />Employees should be aware that the City has the same right to access electronic files <br />stored on City computers as it doss files stored In an employee's desk or workstation, <br />(See personnel policy regarding City buildings, desks, file cabinets, vehicles, etc.) <br /> <br />~~-- <br />
