This would reduce the amount of <br />labor involved in maintaining diverse systems. <br /> <br />2) Purchase a file server with Windows 2000 server operating system. This lM:lUld increase <br />speed, seculily, fault tolerance, and give a central point of management. <br /> <br />3) Purchase of Exchange server software and clients licenses for the file server. This would <br />allow the city to take advantage of greaier email and scheduling capabilities. <br /> <br />4) Purchase Antivirus software for all PCS and the file server. A network version of Antivirius <br />software V\{)IJld automatically download new virus definitions and distribute the new <br />definitions to end lJ.."Elr peS. <br /> <br />5) Upgrade the ne!woI1< archffecture to 100 MB. <br /> <br />6) Purchase of a backup solution and 30 tapes and establish a grandfather rolalion method <br />that would perform full backups on the server and all Pes. <br /> <br />7) Establish a standard conflQUration for all. workstations and establish a standard <br />replacement program. Most cities budget a four-year replacement program on all <br />workstations and three-year replacement program on all servers. Note: Servers operate <br />in a 24 * 7 environment Replacement of these servers every three years is critical for <br />reduction of added costs associated with hardware and software failures. Current PCS <br />purchased should be a minimum configuration of a Pentium 4 1.7 GHZ with 256 MB of <br />memory and a 20 GB hard disk with a 19-inch monitor. The minimum PC in use currently <br />should be a Pentium 400 with 128 MB of memory. All PCS should be utilizing WINDOWS <br />2000. <br /> <br />8) Establish the servers and PC replacement program, new applications into the cities ClP <br />bUdget New application purchases can account for high costs as the city continues to <br />grow. Example of new applications would be GIS, Permit Systems, utility billing systems, <br />new finance systems. <br /> <br />Software licensing: <br /> <br />Software licensing and maintenance is an important aspect for the Centerville. Microsoft has changed <br />the licansing structure to eliminate upgrades credits. Effective July 31, if your organization is not under <br />a maintenance program any purchases of products will not be allowed to use any prior products for <br />upgmdes. <br /> <br />The good news is under a maintenance agreement; when new releases occur you automatically obtain <br />the newest release. This allows you to always have the newest version, which in tum reduces <br />compatibility issues with other organizations. Another benefit of the maintenance program is <br />budgeting, the maintenance fees are Iypically 1/4'" the cost of the purchase price. This is an easier to <br />budget then purchasing the entire product every three to four years. <br /> <br />Centerville C?fl purchase Micrcsoft software under the State of Minnesota's select agreement. <br />Purchasing software under this agreement entitles you to the highest discounts normally not available <br />to most organizations. These discounts are also applied against the maintenance agreements. <br /> <br />. <br />
