-) 9/f-d ~ /a1/ //,1 %:c- ~. 7/~. IV. SURVEY UPDATE Chair Brenner stated that the deadline for survey submission was June 1,2001. Committee Member Abrahamson stated that his co-worker had completed the program and it was available on disk Committee Member Abrahamson volunteered to enter the surveys into the database. Chair Brenner stated that she had spoke with Committee Member Witzel earlier that day and she had stated that she would be able to complete same. Committee Member Abrahamson reviewed the program with the Committee. Chair Brenner stated that the drawing for the five (5) polo/golf shirts should be completed and Council's June 13,2001 meeting. Chair Brenner stated that she would arrange same. Committee Member Bode suggested setting up two (2) different databases for committee/commissions, staff and citizens. Chair Brenner stated that Committee Member Bode would retrieve all survey boxes from local business and contact her and schedule pick up for same. Chair Brenner would then forward to Committee Member Witzel for entry. Committee Member Abrahamson will familiarize Committee Member Witzel with the program. It was anticipated that it would exceed four (4) hours for entry, but results would be available for their next meeting. V. DOCUMENT IMAGING Committee Member Fairbrother stated that he had spoken with a Staff member of the City of Circle Pines. She explained that the City Administrator, Mr. Jim Keinath, had research several document imaging vendors. Committee Member Fairbrother stated that the City of Circle Pines purchase Laser Fiche in 1997 and it cost $7,151. The equipment purchased was a server, scanner, etc. Committee Member Fairbrother stated that they purchase same from a vendor named Software Tailors, Inc. Committee Member Fairbrother stated that the City of Circle Pines is utilizing the software for ongoing items only, if time allows, they would use same for older records. The Staff member reported that they have been experiencing problems with the software/computer and slowing speeds. Committee Member Fairbrother questioned the Staff member as to would they purchase the same system or a different system and the Staff member stated that they would retain Laser Fiche. Committee Member Fairbrother stated that the Staff member stated that the scanning of documents was highly time consuming. Committee Member Fairbrother reported that retrieval of documents was excellent. Committee Member Fairbrother stated that he would contact Software Tailors, Inc. Consensus was that the City cannot spend money on technology and not use it. It was felt that no one has responsibility for the web site, cable channel, etc. so these items are not being used. Motion by Committee Member Fairbrother, seconded by Committee Member Bode to recommend uudatinl!: the web site with current information and Laser Fiche be reviewed by Administrative Staff. AU in favor. Motion passed unanimouslv.
