J ' . . . . . . . <br /> MaICh 29� 2001 <br /> Communications Ad Hoc Committee Meeting Minutes <br /> Brenner stated that a meeting was arranged for April 5, 2�01 with a representative from <br /> LaserFiche. Chair Brenner stated that she would participate in same and would bring tha.t <br /> information back to the Committee. Committee Member Bode questioned whether the <br /> City's web site had linlcs to other business sites. Committee Member Elbrahamson stated <br /> that the City does under Businesses. <br /> i 5. Cable Cha.nnel 16 (Government Channel) <br /> Chair Brenner discussed Universal Public, Educational, and Government (PEG) Access <br /> Service. Chair Brenner stated that currently the channel is pretty basic; it has <br /> announcements in a scrolling format. Chair Brenner stated that the channel is not very <br /> exciting, is repetitive and is not fun to watch. Chair Brenner stated that Channel 16 also <br /> cable casts the City's council meeting; however, they are not pla.yed back. Chair Brenner <br /> stated that is something that could be modified, and consensus was to do so. Chair <br /> Brenner stated that programs such as: candida.te forum, parades, festivals, etc. are run on <br /> Channel 16. Chair Brenner stated that there definitely is a lot more that can be done with <br /> the channel. Chair Brenner stated that Ms. Scott was the cable operator and she records <br /> the Council meetings along with another staff member wha ha.s some training in the <br /> channel. Chair Brenner reviewed the presented a list of equipment that the City owns and <br /> sta.ted that it was outdated. Chair Brenner stated that several years previously, the City <br /> upgraded equipment. Consensus was that audio was not always reliable. <br /> Chair Brenner stated that at some point, the different areas would need to be divided up <br /> and requested that if individuals were interested in specific areas to iet her know. <br /> 6. Needs Assessment <br /> Chair Brenner stated that the Committee is currently in the information gathering stage <br /> and felt that many people have suggestions in the di.fferent azeas and tha.t a survey may be <br /> the direction to focus energy. Chair Brenner stated that she had attended the Council <br /> meeting and questioned whether Council had intentions of completing a survey and the <br /> Council said no, but gave their blessing for the Committee to complete same. Chair <br /> Brenner stated that an opportunity for committee%ommission input should be given. Ms. <br /> Brenner stated that several ways of completing the survey, mailing, Internet, focus <br /> groups, etc. Discussion ensued in regards to placing the survey in the quarterly <br /> newsletter, but Ms. Brenner stated that it was in the process of being printed. Ms. <br /> Brenner stated that a large amount of coverage could be made through the town home <br /> associa.tions, church, Lions, school, etc. Discussion ensued regarding retaining the <br /> monthly versus the quarterly newsletter and ma.ilixig same to individual households. <br /> Discussion also ensued regard'mg going to a more newspaper style, which may be more <br /> cost effective. Chair Brenner stated that surveys should be dra$ed for specific groups of <br /> individuaLs; such as businesses, staff, Council, committees/cominission, etc. <br /> Chair Brenner questioned the type of information gathering needed. Consensus was that <br /> they needed to know where individuals get their informa.tion, where would they like to <br /> get the information, ask if they ha.ve Universal Service, access to web site, ranking <br /> communications currently; sta,� Council, Public Works, Police and Fire Department, <br /> preference to sending communications to the City. Chair Brenner stated that the survey <br /> should be brought before the Council; however, it did not need to be. Discussion ensued <br />
