fA
It
Al
AL SOWSE E
Administration Department/Communications
Memo
To: Christine Butterfield, Assistant City Manager
From: Tim Pratt, Communications Specialist
Date: August 17,2001
Re: Video and Audio Equipment Update Group
Attached are the minutes from our August 15 meeting. After reviewing the audio and video
needs spelled out in my earlier memos, the group prioritized equipment purchases that will
meet those needs (see below). Everything is portable in case a new Council Chambers is built.
The Council has budgeted $49,000 in 2001 for equipment upgrades and repairs. That should
be sufficient to meet the high priority items if CTV does the installation(Pat Cook has agreed
to let Andre Barte do the installation).
Finance Director Ed Burrell has suggested that we save the time and expense of doing an RFP
and purchase the equipment off the state contract that has negotiated low prices with
equipment vendors. I have proceeded with that course and have requested pricing information
from the vendors on the state contract. I will provide a detailed cost breakout when I receive
that pricing. I have also asked for prices on the medium priority items so we can budget for
those upgrades and replacements in 2002.
Analysis of audio and video situation in the Council Chambers
Problem: Speakers not being heard on the microphones.
Priority: High
Solution: Purchase new gooseneck microphones with a broader pickup pattern. The
goosenecks would also have a base so they could be moved from the dais to
tables.
Problem: Audience has difficulty hearing speakers.
Priority: High
1Vosephine\CommunicarionsUerryB\Video ProducNonEquipment Upgrade 2001\Overall memo.doc
