<br />1 Meeting Schedules <br />2 <br />3 The Variance Board shall hold regular meetings at the Roseville City Hall on the first <br />4 Wednesday of each month at 5:00 p.m. When a regular meeting is not to be held on the first <br />5 Wednesday of the month due to a holiday, lack of business, or anticipated absence of members <br />6 for similar reasons, the Chair shall select an alternate date and direct the City Staff to notify each <br />7 member at least five (5) days prior to the meeting or when there is a change from the regular <br />8 schedule. The Variance Board shall hold at least one (1) regular meeting each month, unless <br />9 there is no business to come before the Board for action. <br />10 <br />11 In the event of a change in time or place from the regular meeting time or place, or a <br />12 special meeting, City Staff shall post written notice on the bulletin board at City Hall at least <br />13 three days prior to the meeting. This notice shall include the date, time, place and purpose of the <br />14 meeting and will be mailed or delivered to any person who has filed a written request for notice. <br />15 <br />16 F or any meeting that is continued until a later date, no further legal notice is necessary if <br />17 the time and place was determined, announced at the meeting, and recorded in the minutes at the <br />18 time of the continuance. <br />19 <br />20 Official actions of the Variance Board shall only occur at the City Hall or other public <br />21 meeting places within the corporate limits of the City ofRoseville. Special meetings may be <br />22 held outside the City as deemed appropriate, such as tours; however, there shall be no official <br />23 actions at these meetings. <br />24 <br />25 Absences <br />26 <br />27 A member who misses six or more regularly scheduled meetings in a calendar year shall <br />28 be reported by the Chair to the City Council. <br />29 <br />30 Suspension or Revision of Procedures <br />31 <br />32 These procedures may be revised or suspended only with the approval by voice vote or in <br />33 writing by a majority of the members of the Variance Board. <br />34 <br />35 Conflict of Interest <br />36 <br />37 Each member shall be responsible for identifying his/her own conflicts of interest, which <br />38 may occur during the review of a specific project or program. <br />39 <br />40 A conflict of interest shall be defined as a personal or financial relationship held by a <br />41 member which may unduly or unfairly influence the member's discussion, judgment, or decision <br />42 making or the member's personal or financial relationship which may directly cause the member <br />43 to gain or increase in value or income because of her/his Variance Board decision. <br />44 <br />45 It shall be the responsibility of any member who identifies such a personal or financial <br />46 conflict to notify the Chair of such conflict and to voluntarily and temporarily step down from <br /> <br />2 <br />
