Human Rights Commission Minutes <br />June 17, 2015 <br />Page 3 of 8 <br />Commissioner Christiansen stated she had attended an immigration discussion at the Library and <br />had been told that the Library has a relationship with Dunn Brothers Coffee and does not allow <br />outside food. She suggested checking into this. <br />Ms. Collins stated they could also opt for the 1:00 pm to 5:00 pm time frame due to the limited <br />budget. Kari Watts, the Library Liaison, stated the morning would be good and she had asked if <br />there would be money in the budget to provide snacks. The Library is a co-sponsoring the event. <br />Commissioner Carey suggested verifying with the Library about bringing in food from an <br />outside vendor and if this works then price food options from Costco. <br />Commissioner Christiansen asked who would be writing up the promotional materials for the <br />event. <br />Ms. Collins stated the City's Communication Specialist would be preparing these materials. The <br />Library does have online signup capabilities and the City would link to this. <br />Commissioner Christiansen stated the Library could also promote the event in their bulletin and <br />website. <br />Ms. Collins asked if the Institute would require them to arrange far hotel rooms. <br />Commissioner Carey recalled that the Institute took care of booking their flight and hotel rooms <br />but she would coniirm this. <br />Ms. Collins clarified the Commission would approve the 9:00 am to 1:00 pm time and budgeting <br />$300 for snacks for the event if there is not an agreement with the Library and Dunn Brothers. If <br />the Library has an agreement with Dunn Brothers regarding outside food and beverage then the <br />Commission would schedule the event from 1:00 to 5:00. <br />Commissioner Carey stated the Commission could also contribute to the budget if needed. <br />Commissioner Sin�leton made a motion, Seconded bv Commissioner Slade to allocate the <br />remainin� budget of $300 for food and bevera�e pending confirmation from the Librarv. <br />Chair Groff suggested talking with Library and researching food option and if the budget needed <br />to be reviewed it could be done at a future meeting. <br />Commissioner Singleton stated if the Library does not approve bringing in outside food and <br />beverages then the event could be held from 1:00 to 5:00 pm. <br />Ms. Collins stated the funds had been provided for the Civility Training event and they should be <br />used for refreshments for either the morning or afternoon session. <br />The motion was called to a vote. The motion carried unanimously. <br />
