Human Rights, Inclusion and Engagement Commission Minutes <br /> September 19, 2018 —Draft Minutes <br /> Page 11 of 13 <br /> 448 Vice Chair Beltmann stated the Commission previously discussed having an online <br /> 449 place for documents that the Commission to access and she asked if any decision has <br /> 450 been made whether that can be done. <br /> 451 <br /> 452 Ms. Olson stated she has not had the opportunity to discuss how to do that with City <br /> 453 IT Department in regard to record retention. She thought the Commission could do <br /> 454 this. She indicated she would add that to her list to try to move this forward. <br /> 455 <br /> 456 Vice Chair Beltmann thought it would be a good place for new Commissioners to go <br /> 457 to access previous work done and information the Commission is using. It could be a <br /> 458 nice onboarding tool as well. <br /> 459 <br /> 460 Commissioner Manke asked what would happen if a Commissioner left, would there <br /> 461 be a possibility of a security issue. <br /> 462 <br /> 463 Ms. Olson stated the information on the google drive would be all public information, <br /> 464 but staff could disable permissions if needed. <br /> 465 <br /> 466 Commissioner Djevi wondered if it would be easier to have the information uploaded <br /> 467 to the City's website under the Commission tab. <br /> 468 <br /> 469 Ms. Olson stated it is possible to have a resource section on the website as well. She <br /> 470 indicated she would look into both options. <br /> 471 <br /> 472 Commissioner Manke thought it would be a good idea to mentor new <br /> 473 Commissioners. <br /> 474 <br /> 475 Vice Chair Beltmann wondered if this could be a subject for the October meeting. <br /> 476 <br /> 477 e. Update on Engagement Survey <br /> 478 Chair Beltmann summarized that the survey did go out on September 7, 2018. She <br /> 479 revised the questions after Commission review at the last meeting. <br /> 480 <br /> 481 Ms. Olson stated most of the Departments completed the survey already, but she did <br /> 482 not have time to compile the information but would have a full report for the October <br /> 483 meeting. <br /> 484 <br /> 485 Commission Recess <br /> 486 <br /> 487 The Commission recessed at 8:15 p.m. <br /> 488 <br /> 489 The Commission reconvened at 8:20 p.m. <br /> 490 <br /> 491 f.
